Job Description
The Office Administrator supports daily operations through customer service, office coordination, inventory tracking, purchasing, and administrative support. Working closely with management and production staff, this position helps maintain accurate records, keep supplies available, and coordinate orders and deliveries.
Key Responsibilities

Answer calls and emails, greet visitors, and direct inquiries to the appropriate team members.

Communicate professionally with wholesale customers, vendors, and coworkers.

Coordinate office supplies, mail, deliveries, appointments, and routine office needs.

Maintain organized electronic and paper records for customers, vendors, orders, approvals, invoices, and shipping.

Assist with order processing, invoicing, and payment tracking.

Maintain inventory records for fabrication materials, components, consumables, packaging, and office supplies.

Monitor supply levels and purchase authorized materials to support production needs.

Assist with sign transfers, pickup scheduling, packing lists, and delivery confirmations.

Provide related administrative and shop support as needed, following applicable safety procedures.
Required Qualifications

Experience in office administration, customer service, order processing, or similar work.

Proficiency with Microsoft Office and Google Workspace, including email, spreadsheets, and electronic filing.

Ability to learn Xacto’s order-processing and accounting systems.

Strong organization, accuracy, communication, and time-management skills.

Ability to work independently, collaborate with others, and follow through on deadlines.

Ability to perform essential duties, including occasional lifting of up to 25 pounds and movement throughout the facility, with or without reasonable accommodation.
Preferred Qualifications
-
Two or more years of related administrative experience.

Experience in manufacturing, signage, or wholesale operations.

Familiarity with purchasing, inventory, invoicing, and job tracking.
Schedule
This is an on-site, part-time position requiring approximately 30 hours per week within office hours of Monday–Thursday, 9:00 a.m.–5:00 p.m. The regular schedule will be confirmed at hire.
Pay & Benefits

$18 - $22 / hour
